Claro Casa (“we”, “us”, “our”) respects your privacy and is committed to protecting your personal data, in accordance with the GDPR (Regulation (EU) 2016/679) and Portuguese Law No. 58/2019 of 8 August.

This policy applies to clients and prospective clients, visitors to our website, and any third parties whose personal data we necessarily process in order to deliver our services.
We collect data directly from you (at onboarding, by phone, WhatsApp or email, and via our website), through referrals you authorise, and as generated during the delivery of our services (for example inspection reports, photographs and video).
We process personal data to provide and manage our services; to hold keys and access codes so we can access the property as instructed; to produce inspection reports and media; to source and supervise contractors; to invoice and take payment; to communicate with you; to comply with the law; and, with your consent, for marketing.
Because of their sensitivity, keys and access codes receive additional protection: access data is stored encrypted and separately from property addresses; physical keys are tagged only with an anonymous QR code and never with an address; access is restricted to authorised personnel and the designated continuity manager (the “Shadow Manager”); codes are never stored together with physical keys; and all keys, codes and access data are permanently purged within 48 hours of the end of our engagement.
We share personal data only as necessary: with vetted sub-contractors under confidentiality and data-processing obligations, and only the data needed for a specific job; with payment and IT service providers acting as our processors; and with public authorities where legally required. We never sell personal data.
We use trusted cloud-based tools (for example a CRM) to operate our business. Where personal data is processed outside the European Economic Area, we ensure an appropriate safeguard is in place, such as the European Commission’s Standard Contractual Clauses.
We keep personal data for the duration of our relationship and afterwards only as long as required by law (for example, invoicing and accounting records are generally retained for up to 10 years). Keys, access codes and access instructions are purged within 48 hours of termination.
Under the GDPR you have the right to access your data; to rectification; to erasure; to restriction of processing; to data portability; to object to processing; and to withdraw consent at any time. You also have the right to lodge a complaint with the Portuguese supervisory authority, the Comissão Nacional de Proteção de Dados (CNPD), www.cnpd.pt.
We apply appropriate technical and organisational measures, including encryption of sensitive data, access controls, anonymised key tagging, secure cloud storage, staff confidentiality undertakings and the Shadow Manager continuity protocol.
Property images and video are produced for the service you have requested (such as listings or inspection reports). We use such images for marketing only with your consent, and we avoid capturing identifiable individuals without their consent.
Our website may use strictly necessary and analytics cookies. Where applicable, a separate cookie notice provides details and the means to manage your preferences.
Our services are directed at property owners and we do not knowingly collect or process the personal data of children.
We may update this policy from time to time. The version and effective date are shown at the top of this document.
